Key Configurations

EDUGATE Configuration provides a comprehensive interface for administrators to set up and manage key school configurations. This includes essential details such as academic year information, class structures, grade levels, and divisions. This page ensures that all foundational elements are correctly configured, facilitating smooth academic operations and an organized educational environment.


GENERAL MANAGEMENT #

The EDUGATE module provides facilities to manage the core of your institution. There are 13 features for general management that you can configure.

  1. Education Type: Declare education type, such as Private, Public, etc.
  2. Education Curriculum: Define School Curriculum such as British, American, or Ministry Curriculum.
  3. Regulator: Select institute regulator, such as KHDA or ADEK in the UAE.
  4. Education Gender: Select allowed genders, male, female or both.
  5. Key Stage: Sort school years into key stages.
  6. Division Master: Create labeled class divisions.
  7. Section: Create school hierarchy, such as primary and secondary levels.
  8. Grade Scale: Create grade scales per school level(s) or per course(s).
  9. Facilities: Configure school facilities with their info.
  10. Classrooms: Configure classrooms with facilities info.
  11. Subject Group: Create groups for subjects.
  12. Subjects: Create subjects/ courses with their requirements and details.
  13. Years Master: Set up school years and age requirements.

Configure Education Type #

Go to EDUGATE ‣ Configuration ‣ Education Type ‣ Create

  • Name: Provide the education type of the school.
  • Code: Provide the code of the education type.
  • School: Select your school.

Configure Education Curriculum #

Go to EDUGATE ‣ Configuration ‣ Education Curriculum ‣ Create

  • Name: Provide the education curriculum of the school.
  • Code: Provide the code of the education curriculum.
  • School: Select your school.

Configure Regulator #

Go to EDUGATE ‣ Configuration ‣ Regulator ‣ Create

  • Name: Provide the regulator name of the school.
  • Code: Provide the code of the regulator.
  • School: Select your school.

Configure Education Gender #

Go to EDUGATE ‣ Configuration ‣ Education Gender ‣ Create

  • Name: Provide the genders allowed in your school: Male, Female, or Mixed.
  • Code: Provide the code of the allowed gender(s).
  • School: Select your school.

Configure Section #

Go to EDUGATE ‣ Configuration ‣ Section ‣ Create

  • Name: Provide the school section name such as Primary, Secondary, etc.
  • Code: Provide the code of the section.
  • Head of Department: Select the head of department, the options can be configured in Set Up Users.
  • Report Card Published By: Select the publisher’s name, the options can be configured in Set Up Users.
  • School: Select your school.
  • Parent: Select parent section if available.

Configure Key Stage #

Go to EDUGATE ‣ Configuration ‣ Key Stage ‣ Create

  • Name: Provide the Key Stage name (e.g. Key stage 1, Early Year Foundation Stage, Sixth form, etc.).
  • Code: Provide the code of the Key Stage (e.g. KS1, EYFS, SF, etc.).
  • Year Master: Select the years that apply to this key stage.
  • Key Stage Manager: Select Key Stage Manager. These options can be configured in Set Up Users.
  • Section: Select the section that applies to this key stage. 

To group Key Stages more conveniently: Go to Group By ‣ Add Custom Group ‣ Section. To set group by default: Go to Favorites ‣ Save Current Search ‣ Use By Default.


Configure Years Master #

Go to EDUGATE ‣ Configuration ‣ Years Master ‣ Create

year master

  • Name: Provide the name for the class year (e.g. Year 1, Kindergarten 1, etc.).
  • School: Select your school.
  • Code: Provide the code for the class year.
  • Key Stage: Select the Key Stage that this Year is associated with. 
  • Section: This will be automatically chosen after selecting the Key Stage.
  • Eng name: English name of the class year if needed.
  • Is student email required: Tick this box if this class year requires a student’s email, this is typically to stay in contact with higher class years.
  • Is last year: Tick this box if this class year is a graduating year.
  • Contains Blocks: Tick if this class year contains blocks (some schools enable students to select their courses/ blocks at a specific year).
  • Head of Year: Select the head or manager of this class year.
  • Consultant: Select the consultant of this class year.

  • Batch: To create batches, Add A Line, then create a Sequence (numeral) and a Name (alphabetical) for each class, such as 1A, 2B, etc. The Dummy Division box will be later filled during admissions.

  • Subject: This is used to specify which subjects are associated with this class year. Add A Line, then select the Subject from the drop-down menu. These options can be created in Configure Subjects. Then, select Subject Type (compulsory, elective, optional) 
  • Compulsory subjects: are mandatory for all students to complete as part of their academic curriculum. 
  • Elective subjects: Electives are optional courses within an academic program that students can select based on their interests and objectives. 
  • Optional subjects: Optional subjects are allocated to students based on their nationality and religion.

  • Age: This is used to set age limits per class year. Select the Minimum Year Age and the Maximum Year Age from the calendars.

Configure Division Master #

Go to EDUGATE ‣ Configuration ‣ Division Master ‣ Create

  • Name: Provide the class division/ name. Classes are usually referred to by a letter (e.g. A, B,C, etc.).
  • Code: Provide the division code/ letter.
  • School: Select your school.

Configure Subjects #

Go to EDUGATE ‣ Configuration ‣ Subjects ‣ Create

  • Name: Provide a name for the Subject.
  • Name (English): Provide the name in English for the Subject.
  • Code: Provide a code for the Subject.
  • Type: Select the Subject Type from the drop-down menu.
  • Subject Group: Select a Subject Group that this Subject is associated with from the drop-down menu. These options can be configured in Configure Subject Group.
  • Year Master: From the drop-down menu, select which class year this Subject applies to. This can be configured in Configure Years Master.
  • Report Card: Provide the name for the Subject that will appear on the report card.
  • Sequence: Provide the sequence number of the Subject that will appear on the report card.
  • Progress Comments: Tick this box if this Subject enables Progress Comments on the report card.
  • Teacher Comments: Tick this box if this Subject enables Teacher Comments on the report card.
  • Board Exam: Tick this box if this Subject has a board exam.
  • Arab & Religion Categorization: Tick this box if this Subject is offered on a nationality or religion basis. If ticked, choose the Category (Arab or Non-Arab), choose the nationality from the Arab / Non-Arab Countries drop-down menu, then choose the Religion from the options.
  • Need Mark Entry: Tick this box if this course requires a mark/ grade entry.

area of load tab

  • The tabs: Required Subjects, Seven Area of Load, and Exams will be autogenerated.

final tab

  • Final Grade: The contents of this tab will be autogenerated when you Configure Grade Scale.

class alloc tab

  • Class Allocation: To allocate faculty to classes for this Subject, Add A Line, then fill the information needed from the drop-down menus such as Year, Academic Year, Class Division/ section, and select the Faculty.

Configure Subject Groups #

Go to EDUGATE ‣ Configuration ‣ Subject Groups ‣ Create

  • Group Code: Provide a code for your Subject Group.
  • Group Name: Provide a name for your Subject Group.
  • School: Select your school.

 


Configure Grade Scale #

Grade scales help in standardizing the evaluation of students’ performance across various subjects and levels.

Go to EDUGATE ‣ Configuration ‣ Grade Scale ‣ Create

  • Name: Provide a name for the grade scale (e.g. class name, year, or course name).
  • Classes: Select the Classes that this grade scale applies to. These options can be configured in Configure Year Master.
  • Subjects: Select the Subjects that this grade scale applies to. These options can be configured in Configure Subjects Master.

  • Grade Type: For this table include the Grade Name (e.g. A+, B, etc.), Minimum Percentage, Maximum Percentage, Result (e.g. Pass, Fail, Retest, etc.), Company (school name).
  • Company: Select your school.

Configure Facilities #

Go to EDUGATE ‣ Configuration ‣ Facilities ‣ Create

  • Name: Provide the name of the facility.
  • Code: Provide the code of the facility.
  • School: Select your school.

 


Configure Classrooms #

Go to EDUGATE ‣ Configuration ‣ Classrooms ‣ Create

  • Academic Year: Select Academic year from the drop-down menu. This can be configured in Configure Academic Year.
  • Code: Add a code for this classroom.
  • Name: Add a name for this classroom.
  • Class: From the drop-down menu, select which class year this classroom applies to. This can be configured in Configure Years Master.
  • Division: After selecting Class, select the class Division from the drop-down menu. These options can be configured in Configure Division.
  • Division Name: This will be auto generated when the Division is selected.
  • Division Number of Students: This will be auto generated when the Division is selected.
  • Capacity: Provide the maximum capacity of this classroom.
  • Description: Add a classroom description if needed.
  • Facilities: To add the facilities that are available in the classroom, Add A Line, and in the form, fill the name of the Facility, the Quantity, and school name, then Save.

 


Academic Years #

EDUGATE provides you with two features that you can configure to better manage your institute’s Academic Years:

  1. Academic Year: Configure Academic Years with info such as Academic Terms, Dates, Class Admission, Re-registration Information, and Exams.
  2. Academic Semester: Configure semesters information such as start and end dates.

Configure Academic Year #

Go to EDUGATE ‣ Configuration ‣ Academic Year ‣ Create

1- Create a New Academic Year

  • Name: Provide a name for the Academic Year (e.g. Academic Year 2027-2028).
  • Code: Provide a code for the Academic Year.
  • Term Structure: Select the term structure from the drop-down menu.
  • Start Date: Select the Start Date of the Academic Year from the calendar.
  • End Date: Select the End Date of the Academic Year from the calendar.
  • Health Information Admission Type: Select from the drop-down menu. This info will be created and used in the Configure Pre-admissions.
  • Medical Consent Admission Type: Select from the drop-down menu. This info will be created and used in the Configure Pre-admissions.
  • Assigned Date, Admission Confirmed Date, Date For Parent Portal, Date To Submit TC, Email For Scanned Copy: These fields will be configured later through emails during the Admissions
  • Admission Registration Fees Due Date: Set the due date for the registration fees from the calendar.
  • Transportation Request Start Date: Select the start date for transportation requests from the calendar.
  • Transportation Request End Date: Select the end date for transportation requests from the calendar.
  • T/C Request Start Date: Select the start date for T/C Requests from the calendar.
  • T/C Request End Date: Select the end date for T/C Requests from the calendar.

  • Calendar: From the drop-down menu, select hours/ work week structure. Click on the open button to configure the week info.

2- After entering all the information save click on “Cerate Terms”

  •  The Academic terms will be automatically generated. To edit the term, double click on the generated line and edit the info.

3- Configure the student start and end duty date, admission status and required age if exist

4- Click on ” Create Classes and Divisions “

  • The Classes and Divisions will be automatically generated. After edit the info on the lines such as setting the dates for Student Duty Start and Student Duty End, Admission Status, Minimum and Maximum Required Age, and type out a Dummy house sorting if needed.

re registration 1

  • Re-registration information: Set the ‘Date from’ the start of re-registration to the ‘Date to’ the end of re-registration. Add a Message to be sent to the parents, and any needed Terms and Conditions.

  • Exams: Set the calculation methods from Year Wise Calculation Method and Term Wise Calculation Method, and select the School Reopen Date from the calendar.

  • To edit the Class and Division info, go to Academic Year ‣ Classes, and Academic Year ‣ Divisions, or edit them on Configure Years and Configure Divisions.

Configure Academic Semester #

Go to EDUGATE ‣ Configuration ‣ Academic Semester ‣ Edit

The Academic semesters will be automatically generated after the Configure Academic Year phase. On this page you can edit the auto-generated Semesters from the Edit button.
